1. Overview
This Privacy Policy explains how My Guest ("the Service") may handle personal information when organizers use the Service for their events and when guests check in. "Personal information" means information that relates to an identifiable person, such as a name or an email address.
2. Information the Service may handle
Account information. When you create an organizer account, we handle your email address, name, password (kept only for authentication), and any host profile details you add (such as company name and position).
Guest and event information entered by organizers. Organizers may enter or import guest records, which can include names, email addresses, phone numbers, company names, VIP status, plus-one details and names, table and seat assignments, ID codes, payment status and amount recorded by the organizer, and event details such as date, venue, and guest lists.
Information submitted during check-in. When a guest scans an event QR code and checks in, the Service receives the details the guest submits, such as their name, and, where the event requires it, a company name or ID code. The Service records the guest's arrival status and arrival time for that event.
Attendance reports. The Service generates reports from the records above, such as arrival counts, arrival times, and guest lists for an event.
3. How the information is used
Information is used to operate the Service: to authenticate organizers, to maintain guest lists for events, to record and display arrivals, to generate the reports and exports organizers request, to send account-related emails (such as verification and password-reset messages), and to provide support.
4. Storage, security, and access permissions
Records are stored with the Service's hosting platform. We rely on the platform's standard technical and organizational safeguards, and we limit access to accounts using sign-in. No method of transmission or storage can be guaranteed to be fully secure, and we do not promise that the Service is immune to security incidents. Organizers should apply their own access controls: only invite co-hosts they trust, and share the event QR code only where guests can see it.
5. Retention, deletion, and account closure
Account information is kept while your account is active. Event and guest records are kept until an organizer deletes the records, deletes the event, or closes the account, subject to any platform-level retention that applies. We do not commit to a specific automated deletion period; organizers who need records removed should delete them in the app or contact us through the Contact and Legal Support page. Closing your account ends your access to the Service.
6. Service providers and hosting
We use service providers to operate the Service, including the hosting platform (Base44) and email delivery providers used for account and report emails. These providers process information on our behalf only to deliver the Service.
7. Sharing with third parties
We do not sell personal information. Information may be shared with the service providers described above, and where we are required to share it by law or to protect the rights and safety of the Service and its users. Guest information is not shared with other guests; a guest checking in sees only the event's public details and their own check-in result.
8. Your privacy rights
Depending on the law that applies to you, organizers and guests may have rights to access the personal information held about them, to have it corrected, or to have it deleted, and to object to or restrict certain processing. Organizers can exercise rights over their own account data directly in the app. Guests who want to access, correct, or delete their details should contact the event organizer first, since organizers enter most guest data; they may also contact us through the Contact and Legal Support page and we will direct the request to the organizer where appropriate.
9. International data transfers
Our hosting and email providers may process information in countries other than your own. When information is transferred across borders, it is done through the Service's hosting arrangements for the purpose of operating the Service.
10. Organizer responsibilities
Organizers are responsible for having an appropriate legal basis or permission to upload guest information to the Service, and for providing their guests with any privacy notices the law requires. Organizers act as the data controller for the guest information they upload; the Service processes it on their behalf.
11. Changes and contact
We may update this policy as the Service evolves; material updates will be announced in the app. Privacy questions and requests can be sent through the channels listed on our Contact and Legal Support page.
[Requires owner confirmation] Official contact details for privacy requests, and any specific statutory roles or representatives (such as a data protection officer), have not yet been provided by the app owner and must be confirmed before being treated as final.
